Secrets That Are Guaranteed To Save You Time

How to regain access to documents with reader fields

NOTE: Our ‘Tips and Tricks’ section has been superseded by the Ytria Tech Lab. Archived tips are still being kept here for reference purposes. Please check the Ytria Tech Lab frequently for all the latest tips, tricks and tutorials to help you get the most out of your Ytria toolkit.

Select any Notes database (email, personal address book, applications etc.) on your workspace, open scanEZ from the Notes client toolbar. Click to expand the Documents tree. Select any document from the list to see its actual contents and field values. Field names can be sorted too.

Any document that has a reader or author field will have the Readers/Authors tab available, click the tab to see them. Expand the tree to see the fields that have a reader or author setting. Use the checkbox By name, to view the readers and authors by their name if you wish. Right click for the Delete Field or Remove Name from This Field option.

On a database accessed locally, no protections will be applied and you can use scanEZ to access any document in the database even those with Reader Fields restriction (even documents that are not normally shown in a database on a server when your name, role or group is not in it).

You can then access it locally, you can still change the "reader" configuration. Select any document and give yourself access to the document again. Very useful when you have documents that "disappear" because you have badly set some reader security settings, which no one can ever access again.

Be aware that any modification made locally stays local.
