How to locate and fix missing ACLs on a server

There are many reasons why an ACL could be missing from a Notes database. With so many ACLs on a server it's hard to keep track of all of them—in this tip you will see how you can verify and add missing ACLs with aclEZ.

First make sure aclEZ is running. If it's not, click the aclEZ icon on your Lotus Notes client toolbar and select a server.

  1. Select the databases you are interested in and retrieve the ACL data within them. ACL entries will be displayed in the grid.
  2. In the ACL Entries pane, right-click an ACL Entry (or several) and choose Copy Element To in the contextual menu. This will copy the selected ACL entries with all access settings to the target database (if an ACL entry for a given name already exists in the target database, then it will not be overwritten).
  3. See the Missing Entries: In this window use the grouping feature to sort by Presence. This is a quick way to see where this ACL Element is being used. If its Presence is Unchecked, it means that the ACL Entry is missing. Note: When selecting multiple ACL entries, it's possible to have an Indeterminate Presence, which means that at least one ACL entry you have selected already exists in the target database.

  4. Copy the Missing Entry: In the dialog box, simply tick the checkboxes for the databases you wish to copy the element to and then click OK (you can select several databases and use the spacebar to toggle the checkboxes). Note: You can quickly verify where the new elements were created by grouping the ACL pane by Status (first column by default). The newly copied elements will be flagged with the New status icon.
  5. Confirm Your Changes: Before these new elements are actually written to server, you must select File > Apply Changes (or click Ctrl+S).
Congratulations! You are now finished copying the missing ACL entries on your Lotus Notes and Domino databases.
