How to use grouping grids (all Ytria products) - Part 1

Judging from the support emails and calls that we receive there seems to be a general lack of awareness concerning the "grids"—even among the more experienced users of Ytria's Lotus Notes development and admin tools. Hopefully we can change that a little with this tip and make sure everyone can take full advantage of this feature for your own benefit.

Where the grids are used?

So in addition to agentEZ, listed below are some notable examples of where the grids are also used:

What is the "grid"?

The data or report grid we speak of is a powerful and flexible tool of presenting data. It displays data for you in a table view with lots of rich features. In this tip, we will use agentEZ as our example to showcase the specific features that we'd like to point out:

Categorization (or Grouping)

Reminder: Grids are used throughout Ytria's product line and are not limited to agentEZ

First make sure agentEZ is running. If it's not, click the agentEZ icon on your Lotus Notes client toolbar and select a server.

  1. Select the databases you are interested in and click the Apply button to retrieve the relevant data within them. Since we are using agentEZ in this example, agents will be displayed in the grid.
  2. To categorize simply drag and drop a column header to the grey bar. You can also categorize your data even further, by dragging more than one column header as shown below.
  3. Categorizing or grouping data
  4. Good work, you have now categorized the data by the column header!
Note: To disband any groupings you've created, drag and drop the header back into the grid, or right-click and go to: Grid Action > Group by this Column.

Other notable keyboard shortcuts (some which are the same as in the Notes client):
  • Ctrl+Shift+G to Ungroup All
  • Shift+(+) to to Expand All
  • Shift+(-) to Collapse All
  • +/- to Expand and Collapse

Copy and Paste

Reminder: Grids are used throughout Ytria's product line and are not limited to agentEZ

First make sure agentEZ is running. If it's not, click the agentEZ icon on your Lotus Notes client toolbar and select a server.

  1. Select the databases you are interested in and click the Apply button to retrieve the relevant data within them. Since we are using agentEZ in this example, agents will be displayed in the grid.
  2. Select the rows of data you would like to copy Note: Hold down the Ctrl or Shift key while clicking to make multiple selections.
  3. Press Ctrl+C to copy the content to the Windows clipboard. Note: If you right-click in the grid and go to Grid Action > Copy Settings... you can define the delimiters and separators that you want to use during a copy action.
  4. Press Ctrl+V to paste the content from the Windows clipboard to your text editor or spreadsheet program.
  5. Copy and paste data from the grid
  6. Nice job, it literally takes only seconds to copy/paste information from the grid!
Note: You can also use Ctrl+A to make a Select All action.
