scanEZ - Changing Selection Tree Titles

scanEZ gives you flexible options for choosing how notes are titled in the Selection Tree.

By default, the following information is used to generate titles:

In this image the documents in the Selection Tree are displayed using their Form name as the title. This is the default setting for documents.

How to change titles

There are a number of places where you can change the Selection Tree title text in scanEZ including:

  • The Use Field as Title button
  • The Change Document Title dialog
  • The 'Title Options' section used in many scanEZ dialogs including: Add to New 'MySelection'; Re-categorize Selection; Search by UNID (F6); Search By NoteID (F7); Search by NoteID; Range Search by Formula (F8); Search Contents of View or Folder; Search Using Full Text. The 'Title Options' section in the aforementioned dialogs works exactly like the Change Document Title dialog, which is explained in detailed below.

Use Field as Title

This is the simplest way to re-title notes. You simply select a Field in the Item List and click the Use Field as Title button (or contextual menu option). This will only work for Document notes or notes inside 'My Selection' virtual folders.

Change Document Title

This dialog offers much more extensive options for generating titles, listed below:

  • Default: The titles will be taken from the scanEZ's predetermined list
  • Field Name: This lets you select a field name and use that field's values for document titles. NB: The pull-down menu offers all the fields found in the first document of your selection. Click the Other... button to generate a list based on the Item Def Table.
  • Formula: This allows you to generate titles with a formula. The formula editor for this option lets you save formulas.
  • Column Value: This option lets you choose a Notes view or folder column and use its values for titles.


How to use the Change Displayed Title feature

Right-click a document and select Change displayed title. The Change Document Title dialog lets you choose how you'd like to customize titles in the Selection Tree. Here we will use the Field Name option and choose the field named "Subject."



And here are the results, all your documents organized by the field Subject:



Shown below are the dialogs that appear when you chose the Formula or Column Value radio buttons:


You can also enter a formula to use as a title. The use of formulas opens up endless possibilities (i.e. Notes ID, UNID etc...) in how you can display notes in the Selection Tree.

Tip

As of scanEZ version 10, the formula history is automatically saved to disk in a file named "YtriaFormulaHistory.sfd" in your Notes data directory. The last 99 formulas used will be saved. The formulas can be instantly shared between open sessions of scanEZ. In addition, you can click the Save Formula button if you'd like the option of permanently saving a formula.



The image above shows the dialog where you can select a view or folder column and use its values for displayed titles. Note the Preview button, which lets you see exactly how your documents would appear if you chose a given column.

Tip

There are many different ways to access this option:

  • Right-click in the Selection Tree as described aboveCtrl + T
  • Menu Document > Change Displayed Title
  • the Change Displayed Title toolbar icon (3rd from the left)
  • the Use field as Title, after selecting a field of a document
  • Select a field in the right panel of scanEZ and make a Right-click > Change Displayed Title
  • Plus options for changing displayed titles are available in most search dialogs as well as dialogs related to 'My Selection' virtual folders.
